SHIPPING INFORMATION
Please note that there are two different shipping management options by size and weight of your shipments to the Fall Conference.
1. Shipping regular size shipments (non-crated or skid items)
Hyatt Regency McCormick Place will only accept pre-paid packages. The hotel will refuse any packages delivered C.O.D. and the hotel will not make notification to the shipper.
All packages will be kept in the Package Room which is located between the front desk and the concierge desk in the main lobby. Guests/attendees should include the following information on the shipping label:

Making arrangements for package pick up:
All packages will be kept in the Package Room until guest/attendee claims items. . Individual attendees are responsible to deliver/carry their own shipment to and from the meeting room in the McCormick Place where individual booth meetings will take place. Hyatt staff are not permitted to deliver items to any McCormick properties including meeting rooms. Guests/Attendees can also make arrangements with the Package Room staff for return shipments at the end of the Fall Conference.

Strict Union policies apply to deliveries and handling of your shipments:
Please note that the McCormick Place has very strict union policies on handling shipments by individual attendees.
Attendees are permitted to use/do:
- Permitted to carry own shipments
- Permitted to make multiple trips if necessary
- Permitted to use up to four-wheeled carrier/dolly
Attendees are NOT permitted to use/do:
- NOT permitted to use electronic carrier or dollies
- NOT permitted to use hotels’ bell carts
**Also note that in case of using four-wheeled carrier or dolly, attendees will need to bring their own carrier or dolly for their shipping and handling needs. Neither the hotel nor the McCormick Place will provide or lend carriers or dollies to attendees.
Handling Service Charges:
Handling services will be charged for all incoming and outgoing packages. The charges are as follows:

*Handling service fees include receipt and logging of all items and securing/storage until guest pickup.
Shipping back to your office:
- We recommend to bring your own airbills for your own carrier service
- Arrange outbound shipping with the Package Room located in between the front desk and the concierge desk in the main lobby
- Business center located in the main lobby is also equipped with printers where you can print out your own shipping labels
2. Shipping crated items or skids (minimum 200 lbs) and all other shipments
All crated shipments, freights and skids should be pre-arranged for receiving and delivering services with GES Event Services. The Hyatt hotel will not be handling large shipments such as crated freights or skids.
How to Ship in Advance to the GES Warehouse:
- Remove all old shipping and empty storage labels
- Attach clear shipping labels with the GES Advance Warehouse address:

- All shipments must have a bill of lading or delivery slip showing the number of pieces, weight, and type of merchandise
- Certified weight tickets must accompany all shipments
- Do not ship uncrated materials to the warehouse

Estimating Material Handling Charges
Handling charges are based on the weight of the freight. Shipments are billed by the hundred weights and roundup to the nearest hundred. Minimum per shipment is 200 lbs.
- Crated- Material that is skidded, or is in any type of shipping container that can be unloaded at the dock with no additional handling required. GES will ONLY accept crated shipments at the Advance Warehouse.
- Overtime Surcharges- Shows that move-in or move-out on weekend or after 4:30pm during the week, are subject to additional overtime surcharges.
- Late Surcharges may be charged if the advance freight is received before or after the published deadline date for shipments to arrive at the Advance Warehouse (see below).
- Shipment surcharges will be incurred for those that are received with incomplete information on shipping labels (company name, booth number) and/or shipments that are left on the show floor at the end of the show with no labels or no bill of lading turned in.
Storing Empty Containers
Properly labeled empty shipping cartons will be picked up, stored and returned after the show. Labels are available at the GES Service center and are for empty storage only. It can take 2-4 hours to return empty crates. Do not store any items in crated marked empty. GES has no liability for damage to crates or items sent to empty storage.
Outgoing Shipments
An Outbound Material Handling Form/ Bill of Lading must accompany all outgoing shipments. These forms can be found at the GES Service center. Exhibitors not using GES Logistics will need to make their own arrangements for pickup from our Advance Warehouse.
Receiving Hours:
Advance Warehouse Hours for receiving are Monday - Friday, 8:00 AM to 2:30 PM
Shipments should arrive on or between:
September 15 - October 15, 2010
Carriers can begin to pick up outgoing shipments on:

Material Handling Rates:
Standard Time/Over Time $163.25 per hundred weight
Shipping direct to show site:
If you need to ship your items directly to show site, please let us know at least 5 days prior to the show. The same material handling charges will apply for crated items. Uncrated items or items requiring special handling will incur an additional 30% surcharge. Shipments can be received on Wednesday, October 20th between 8am and 2pm only and picked up no later than 6pm on Friday, October 22nd.
